01

Driver onboarding & qualification

Bring drivers on board. Keep their files current.

New hires and expiring credentials shouldn’t keep pulling you away from the rest of your operation. We handle the qualification workflow and ongoing file management.

Included services
  • Complimentary online driver application and initial qualification review within 3 business hours
  • MVRs, PSP reports, and criminal background checks for driver candidates
  • Initial full Clearinghouse queries, medical examiner verification, and pre-employment drug test coordination
  • Three-year safety performance history and organized electronic driver qualification files
  • CDL and medical certificate reminders, driving-record and credential-status monitoring
  • Annual MVR reviews, annual limited Clearinghouse queries, and active driver roster management

The initial review helps you understand the candidate’s status. Required test results, driver consent, and other qualification requirements still have to be completed before dispatch.

02

Drug & alcohol program management

A testing program with someone following through.

From scheduling a collection to maintaining the result, our team keeps your testing program organized and helps your office know what needs to happen next.

Included services
  • Random testing pool management and quarterly driver selections
  • Pre-employment, random, post-accident, reasonable suspicion, return-to-duty, and follow-up testing
  • Collection scheduling, results tracking, and testing recordkeeping
  • Nationwide testing access, laboratory testing, and Medical Review Officer review
  • A customized drug and alcohol policy for your company
  • Complimentary reasonable suspicion training for supervisors

Testing is included in the monthly program. Your company purchases the FMCSA Clearinghouse queries; our team manages the query process.

03

CSA, roadside inspections & audit support

Know what needs attention before it becomes a bigger problem.

Inspection results need a response. We help you understand the trends, address the issues, and build a record of the corrective work your fleet is doing.

Included services
  • Monthly C.A.R. Reports (CSA Analysis and Review) with driver and violation trends
  • Roadside inspection report (DVER) processing, submission, and follow-up on corrections
  • DataQ reviews and submissions, plus Crash Preventability Determination Program requests
  • MCS-150 updates as needed and customized fleet safety policies
  • Mock audits, New Entrant preparation, and phone or virtual support during a DOT compliance review
  • Corrective action plans and Conditional Safety Rating Upgrade support

Mock audits, corrective action plans, and the safety rating upgrade process are included at no additional charge for clients receiving ongoing My Safety Manager safety and compliance management. Explore safety rating upgrade support.

04

HOS, ELD & camera monitoring

Turn logs and camera events into useful coaching.

Your systems collect the information. We review it, flag what matters, and give your managers practical next steps to address driver behavior.

Included services
  • Weekly hours-of-service and ELD violation audits with management reports and trend analysis
  • Reviews of ELD disconnects, unidentified driving, personal conveyance, and yard move use
  • Speeding reviews and follow-up on concerning patterns
  • Review of video telematics events from your onboard cameras
  • Formal driver warning letters and corrective training when action is needed
  • ELD information package assistance and support for the systems your fleet already uses

We can work with all ELD and camera systems. Our team coordinates access with you so your fleet can keep using its existing equipment and platforms.

05

Vehicle maintenance file management

Keep maintenance records and follow-up from falling behind.

A repair and the record of that repair both matter. We help organize your vehicle files and route inspection findings to the people responsible for the work.

Included services
  • Electronic vehicle maintenance files and storage for repair receipts and inspection reports
  • Driver Vehicle Inspection Report collection, management, and routing to your maintenance team
  • Annual truck and trailer inspection records and renewal reminders
  • A customized vehicle maintenance policy
  • Our Virtual Lighting Inspection Program
  • Setup and management of a tire tread depth tracking system

Your team performs and verifies the maintenance and repairs. We help manage the documentation, reminders, and follow-up that support your maintenance program.

06

Crash response & claims support

Have a team to call when the day takes a turn.

After a crash, your driver and office need a clear next step. We help coordinate the reporting, testing, documentation, and communication that follow.

Included services
  • A 24-hour crash reporting hotline and a crash reporting kit for each truck
  • Post-crash drug and alcohol testing coordination
  • First Notice of Loss preparation and filing with your insurer and insurance agency
  • Claims follow-through from initial reporting through resolution

Do I have to change my ELD or camera system?

No. We can work with all ELD and camera systems. We’ll coordinate access with you and review the information from the systems your fleet already uses.

What if our current files need work?

That’s a common place to start. We review your existing driver qualification and vehicle maintenance files for accuracy and completeness, identify missing items, and help organize the records going forward.

Are drug tests and driver reports included?

Yes. The monthly program includes drug and alcohol testing, MVRs, and PSP reports, along with the management work described above. Your company purchases the FMCSA Clearinghouse queries; we manage the query process. Attorney fees, fines, and court costs are separate.

Does the program include DOT audit help?

Yes. Ongoing clients receive mock audits, New Entrant preparation, and phone or virtual support during a DOT compliance review. Corrective action plans and the safety rating upgrade process are also included at no additional charge. Learn more about Conditional Safety Rating Upgrades.

Does CDL Guardian include legal representation?

CDL Guardian provides ticket review, attorney referrals, case tracking, and eligible DataQ follow-up as part of your My Safety Manager membership, with no increase to your current membership fee. We evaluate the violation, jurisdiction, and potential compliance impact upfront to help you decide whether involving an attorney is worth the likely cost. Legal advice and representation require a separate attorney agreement; you engage and pay counsel directly. Attorney fees, fines, and court costs are separate. Availability and case acceptance vary by jurisdiction. Case outcomes and CSA changes aren’t guaranteed, and court deadlines still apply. Any related DataQ request needs supporting documentation and is subject to agency review.

What stays with our company?

You remain responsible for hiring and dispatch decisions, driver supervision and coaching, safe operations, and completing maintenance and corrective actions. We handle the management work described here and give your team the information and support to follow through.

We do not handle IFTA reporting, IRP registration, UCR registration, Form 2290 filings, or other accounting tasks. These remain your company’s responsibility.

Is there a smaller program for owner-operators?

Yes. Our owner-operator compliance membership provides a narrower set of baseline services. View the owner-operator membership options, or talk with us about which program fits your operation.
